Managing Facilities Booking with MTL

Managing common amenities present in a property irrespective of the real estate asset class is laborious. Whether meeting rooms in office spaces or laundry rooms in residential spaces, the lack of facility booking in a building makes the life of property managers and operators difficult.

The workflow to this might look like: 

  1. Property manager/Operator creates the facility on Web Portal (Godview)
  2. Tenant books the facility on the Tenant App (Circles)
  3. Property managers approve the booking/Tenants pay for the facility 
  4. Tenants access the facility without any confusion

But before we delve into how we can achieve the above, it is important to understand why this is built into our system. 

Why is facility booking built into our software?

We have 3 main reasons why this exists on our product lines:

  1. The lack of booking from tenants causes logistical challenges: Let’s understand this with an example,
    If there is a facility that can be availed by 2 people, but there are 4 people who have showed up at the facility, it is not possible for a property manager to choose who can use the facility.
  • No way to monitor facilities that need prior approval before use causing poor tenant experience: Facilities use is often monitored by property managers/operators and usuage of such facilities without approval is not allowed. Tenants who show up at the facility without approval are denied access to the facility which leads to poor tenant experiences. 
  • No systematic way to generate revenue from monetizable facilities: Property managers and operators can tend to lose out opportunities to generate revenue from facilities due to the sheer number of users. The manual system of bookkeeping only makes this process harder. 

How we wish to change the current system of facility management?

Our products are built in a way where the above issues can be resolved easily. 

  1. Avoid confusions at the facility with ability to set define and set restriction on occupancy: With the ability to define capacity on the number of people who can access the facility and with booking restrictions in place property managers and operators can avoid any logistical errors.
  2. Process to seek approval before using the facility: On enabling the booking required and approval required checkbox, tenants can raise a request to use a facility, but the request will have to be approved by the concerned person.
  3. Monetizing facilities to increase revenue: Operators and property managers can charge hourly, daily or flexible rates to provide facilities to tenants.
